Which date should you choose for your seminar? 

When is the ideal time to schedule your room hire?

First and foremost, holding a successful seminar requires getting as many people as possible to attend this corporate event. As such, the choice of date is one of the most important considerations. Indeed, the date you choose may vary depending on the target audience, the theme of the event and the format selected. Finally, you’ll have to plan ahead and think about hiring a room for the event, particularly if it’s going to take place at a busy time.

What sort of seminar do you have in mind?

The date you choose for a seminar will depend on what kind of event it is: firstly, is it about bringing together clients, colleagues or partners? Whilst there’s every chance you’ll be able to ‘free up’ your staff for this event, it’s more difficult to secure a spot in the schedules of people from outside the company. If they are professionals (partners, suppliers etc.), you should aim for office hours, but for individual clients this is definitely not the way to go…

Similarly, when people are deciding whether or not to attend a corporate seminar, the theme and the format chosen play a role. The aim is to make people want to come, with content that is attractive to the public and a format that can easily fit into their schedules (dinner, breakfast, afternoon, weekend…). And the whole thing should take place in a particularly lovely setting; it’s for this reason that the room you choose to hire (ideally somewhere unusual) will also help to make it a success.

Which dates should you avoid at all costs?

Whilst the date you choose and the theme of the seminar are influenced by the audience that’s coming, there are certain periods you should avoid at all costs if you want to make sure as big a turnout as possible:

  • The school holidays
  • Long weekends that include a bank holiday
  • Major sporting events

These periods are super busy times for meeting up with family and friends, and shouldn’t have to compete with a work-related event.

At what point should you go ahead with the room hire?

Once the date for the seminar has been chosen, you should find a suitable venue and then proceed with booking the room. Before booking it, make sure it is available and has everything you need.  Indeed, having a room that is well-equipped, with all the vital equipment you need for a professional event (video projector, microphones, catering area etc.) should be the primary concern: this will make your attendees want to come!
